Terms and conditions

The terms for using Bavarios UK and booking chauffeur services arranged through the London platform.

1. About these terms

These Terms and Conditions apply when you access or use the Bavarios UK website, request a quote, make a booking, use customer support, receive a booking confirmation, or receive any chauffeur, private-hire, taxi, transfer or related mobility service arranged through the platform.

Please read these terms carefully before submitting a booking request. By using the platform or submitting a booking request, you agree to these terms. If you book for another passenger, you confirm that you are authorised to accept these terms for that passenger and that the passenger will comply with them.

The language of the contract is English. The current version of these terms is made available on this website so that you can save or print a copy.

2. About Bavarios UK

Bavarios UK is the London-facing Bavarios platform for arranging premium chauffeur and private-hire journeys. In these terms, “Bavarios”, “Bavarios UK”, “we”, “us” and “our” mean the Bavarios platform and the Bavarios entity or operating company responsible for the relevant platform service.

Bavarios operates the website, booking flow, customer communication, payment collection and coordination layer. Journeys are performed by professional service providers, which may include licensed private-hire operators, chauffeur companies, taxi operators, transport network providers and other mobility partners.

Bavarios does not describe unlicensed persons as private-hire operators. Where transport law requires a licensed operator to accept a booking or contract as principal for a journey, the relevant licensed operator must do so and the applicable journey contract must be consistent with that legal requirement.

3. Users and authority

The platform may be used by private customers, business customers, travel arrangers and passengers. A user must have legal capacity to make a booking. A business user, assistant, travel manager or other person booking on behalf of a company or passenger confirms that they have authority to do so.

You are responsible for ensuring that all booking details are accurate, complete and kept up to date. This includes passenger names, contact details, pick-up and drop-off locations, date and time, flight details, vehicle class, number of passengers, luggage, child seats, accessibility requirements, journey notes and payment information.

Terms or purchase conditions supplied by a customer, passenger, company or travel arranger do not apply unless Bavarios expressly accepts them in writing.

4. Service providers

A “Service Provider” means any independent professional provider involved in accepting, providing, fulfilling or supporting a journey arranged through Bavarios. Service Providers may include licensed private-hire operators, chauffeur companies, taxi operators, transport network companies, dispatch networks, professional drivers and other mobility providers.

Service Providers are responsible for the licences, permits, vehicles, drivers, insurance, regulatory compliance and operational approvals required for their own services. Provider, driver and vehicle details may be supplied closer to the journey time, depending on the booking type, route, provider and legal requirements.

Where a third-party provider, licensed operator, taxi operator or transport network applies its own passenger terms, those terms may also apply to the journey if they are properly brought to your attention before or during the booking process. If there is a conflict, mandatory transport law and the provider terms governing the journey may take priority for the journey itself, while these terms continue to govern your use of the Bavarios platform.

5. Services covered

  • One-way transfers from a defined pick-up point to a defined destination.
  • Airport transfers, including arrivals and departures.
  • Hourly chauffeur bookings for a booked period.
  • City-to-city and long-distance journeys.
  • Business travel, events, roadshows and bespoke journey arrangements.
  • Related customer support, booking coordination, payment, receipt and document services.

6. Booking requests and contract formation

To submit a booking request, you select the requested journey type, route, date, time, vehicle class, passenger and luggage details, contact details and payment method. You must review the details and correct any errors before submitting the request.

Prices, vehicle classes and availability shown during the booking flow are based on the information available at that time. A booking request is not guaranteed until it has been accepted or confirmed by Bavarios or the relevant Service Provider.

A booking confirmation, payment confirmation, receipt of request or payment authorisation does not necessarily mean that the final provider, driver or vehicle has already been assigned. Ride details may be sent separately before the journey.

The contracting structure for the journey may depend on the provider, jurisdiction, booking channel and applicable transport law. Where a London licensed private-hire operator accepts a booking, that operator must be responsible for the journey in the way required by London private-hire law. Where Bavarios acts as a platform operator, disclosed agent, broker, booking coordinator, payment collection agent or technical issuer, Bavarios remains responsible for its own platform and coordination obligations.

Bavarios or a Service Provider may reject a booking request or cancel an accepted booking where no suitable provider is available, required information is missing or inaccurate, payment cannot be authorised, the journey would be unlawful or unsafe, or fulfilment is prevented by operational, regulatory or force majeure circumstances. Where possible, Bavarios may offer a suitable alternative.

7. Prices, estimates, taxes and extra charges

The price shown during booking is based on the route, date, time, vehicle class, booking type and other details supplied by you. Prices include applicable taxes unless the booking flow states otherwise.

A fixed fare applies only to the booked journey as confirmed. It does not include unapproved detours, additional stops, passenger-requested route changes, extra waiting time, extra mileage, parking, tolls, congestion charges, ULEZ or clean-air-zone charges, airport charges, ferry or tunnel costs, exceptional access costs, cleaning charges, damage charges or other additional costs unless they are expressly included.

Where the price is described as an estimate, the final amount may depend on distance, time, route, traffic, waiting time, local tariff rules, provider terms, taxes, charges and actual journey circumstances. Where a mandatory taxi meter or local tariff applies, the fare may be determined by those rules.

If you request or accept additional services during or after booking, you are responsible for the resulting charges. Bavarios or the Service Provider may charge the original payment method or issue a separate payment request.

8. Payment, receipts and invoices

Payment must be made using the payment method selected during booking or any other method accepted by Bavarios. Card payments and related checks may be processed through Stripe or another payment provider. You authorise Bavarios, the relevant Service Provider or their payment provider to authorise, capture, refund or adjust payments in accordance with the booking and these terms.

Bavarios may collect payment as platform operator, disclosed agent, broker, payment collection agent, assignee, technical issuer or on behalf of the relevant Service Provider. A Service Provider may assign or authorise Bavarios to collect amounts due for a journey.

You agree that Bavarios may issue, send or make available ride summaries, receipts, invoices, credit notes, payment requests and accounting documents even where Bavarios acts as broker, platform operator, payment collection agent, disclosed agent or technical issuer for the relevant Service Provider. Receiving a document from Bavarios does not by itself mean that Bavarios was the chauffeur, licensed private-hire operator, carrier or transport provider for the journey.

If a payment is disputed, reversed, charged back or not completed, Bavarios or the relevant Service Provider may take reasonable steps to recover the amount due, including using payment processors, banks, fraud-prevention services, collection providers, professional advisers or lawful dispute procedures.

9. Cancellations and amendments

Cancellation and amendment conditions depend on the journey type, route, vehicle class, provider, jurisdiction and time before pick-up. The cancellation terms shown during booking, in the booking confirmation or by the relevant Service Provider apply to the booking.

If no more specific cancellation term is displayed, Bavarios may charge a reasonable cancellation or no-show fee where a booking is cancelled late, the passenger does not attend, the passenger cannot be contacted, incorrect details prevent fulfilment, or the passenger materially changes the journey after a provider has been allocated.

For fixed-date and fixed-time transport bookings, statutory cooling-off cancellation rights may be limited or unavailable where transport law or consumer contract regulations permit that outcome. Nothing in this section removes any cancellation right that cannot legally be excluded.

Amendments are not guaranteed. A requested change to date, time, route, vehicle class, passengers, luggage, flight details or special requirements may require provider approval and may change the price.

10. Waiting time

Included waiting time, if any, is shown during booking, in the booking confirmation or by the relevant Service Provider. Additional waiting time is subject to driver and provider availability and may be charged.

For airport arrivals, waiting time may be calculated by reference to the actual landing time, scheduled pick-up time or selected buffer time depending on whether a valid flight number was supplied and how the provider handles airport pick-ups.

If the passenger is not at the agreed meeting point within the applicable waiting period and cannot be reached on the contact details supplied, the booking may be treated as a no-show and the fare may remain payable.

11. Airport pick-ups and flight tracking

For airport pick-ups, you must provide the correct airport, terminal, flight number, landing date, passenger contact details and any selected buffer time. Flight tracking depends on the accuracy and availability of third-party flight data and is not guaranteed.

The meeting point may be the arrivals area, a terminal meeting point, kerbside area, car park, hotel desk or another location communicated by Bavarios, the driver or the Service Provider. If the driver or passenger cannot be found, the passenger must contact the driver, provider or Bavarios promptly using the details supplied.

Delays caused by immigration, baggage reclaim, customs, airport disruption, terminal changes, missing flight information or passenger unavailability may lead to waiting charges, amendment charges, cancellation charges or no-show treatment.

12. Vehicle classes, images and capacity

Vehicle images and descriptions on the platform are illustrative. A specific make, model, colour, registration or configuration is not guaranteed unless expressly confirmed in writing.

A provider may supply a comparable or higher vehicle class where operationally reasonable. Passenger and luggage limits shown for a vehicle class must be respected. If the passengers or luggage exceed the booked capacity, the provider may refuse transport or charge for a suitable alternative where available.

13. Passenger conduct and safety

Passengers must behave safely and respectfully, wear seat belts where required, treat the vehicle with care and comply with lawful instructions from the driver or provider.

Smoking, vaping, unlawful conduct, abusive behaviour, harassment, vandalism, carrying dangerous items, excessive intoxication or behaviour that makes the driver or other passengers feel unsafe is not permitted.

A driver or provider may refuse to start or continue a journey where there is a safety, legal, licensing, capacity, behavioural or vehicle-protection concern. In that case, the fare may remain payable and additional cleaning, repair, damage or recovery costs may be charged where lawful and reasonable.

14. Children, minors, animals and luggage

If a child seat is required, you must request the correct seat type during booking or contact Bavarios before travel. Child seat availability is not guaranteed unless confirmed. The provider may refuse the journey where transport would be unsafe or unlawful without the required restraint.

Journeys for unaccompanied minors require prior approval from Bavarios and the relevant Service Provider. Approval is not guaranteed and may depend on provider policy, route, age, safeguarding requirements and local law.

Animals must be declared before travel. Assistance dogs will be handled in accordance with applicable law. Pets and other animals may require provider approval and suitable restraints or carriers.

Oversized, excessive, unusual or unaccompanied luggage must be disclosed before booking. If luggage exceeds the booked vehicle capacity or was not pre-agreed, the provider may refuse transport or require a different vehicle at additional cost.

15. Changes during the ride

Stops, detours, route changes, additional mileage and extensions of hourly bookings are possible only where accepted by the driver or Service Provider and permitted by law and provider policy.

For one-way bookings, the fare covers the booked route only unless additional stops or route changes are confirmed. For hourly bookings, the vehicle and driver are reserved for the booked period, subject to included mileage or route limits shown during booking or by the provider.

Any accepted change may create additional charges. A driver may refuse an on-the-spot change if it would affect safety, licensing, legal compliance, vehicle capacity, schedule commitments or provider policy.

16. Failure to complete the journey

Passenger no-show

If the passenger does not arrive at the agreed pick-up location within the applicable waiting period, cannot be contacted using the details supplied and has not cancelled in time, the booking may be treated as a no-show and the fare may remain payable.

Driver or provider no-show

If the driver does not arrive, the passenger must contact the driver, provider or Bavarios promptly using the details supplied. Bavarios or the provider will take reasonable steps to investigate and, where available, arrange a practical alternative.

Passenger prevents transport

If transport cannot proceed because the passenger requests an unapproved special service, exceeds capacity, provides incorrect information, fails to provide required documentation or creates a safety or legal concern, the fare may remain payable less any costs saved where required by law.

Events outside reasonable control

Bavarios and Service Providers are not responsible for failure or delay caused by events outside reasonable control, including severe weather, road closures, traffic restrictions, accidents, strikes, airport disruption, public safety incidents, network failures, power outages, government action, regulatory restrictions or unavailable third-party systems.

17. Platform accounts

Where account functionality is made available, registration is voluntary unless stated otherwise. Guest bookings may be available. Bavarios may accept, reject, suspend or close an account where reasonably necessary for security, fraud prevention, legal compliance, misuse, non-payment or breach of these terms.

You must keep account details accurate and login credentials secure. You are responsible for activity through your account unless the activity happened without your fault. You must tell Bavarios promptly if you suspect unauthorised access.

18. Communications

Bavarios, drivers and Service Providers may contact you by email, SMS, phone, chat, app message or other booking-channel communication using the details supplied during booking.

Legally relevant notices, confirmations, ride details, receipts, invoices, cancellation messages and payment requests may be sent to the email address or phone number supplied during booking. You must monitor those channels before and during the journey.

19. Data protection

Bavarios and relevant Service Providers process personal data needed for quotes, bookings, payment, fraud prevention, customer support, journey fulfilment, accounting and legal compliance. More information is set out in the Privacy notice and Cookie notice.

20. Liability

Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, breach of statutory rights or any liability that cannot lawfully be limited or excluded.

Bavarios is responsible for using reasonable care and skill in providing the platform, booking coordination, customer communication, payment handling and other obligations that Bavarios undertakes directly.

Where a Service Provider, licensed operator, taxi operator or transport network is responsible for accepting or performing the journey, that provider is responsible for its own journey obligations, drivers, vehicles, licences, insurance and operational conduct, subject to applicable law and any provider terms properly incorporated into the booking.

Bavarios is not responsible for losses that are not foreseeable, losses caused by inaccurate information supplied by you, business losses suffered by consumers, or losses caused by events outside reasonable control. This does not affect any mandatory consumer rights.

If you are a consumer, these terms do not affect your statutory rights. Any limitation or exclusion in these terms applies only so far as it is fair, transparent and lawful under the Consumer Rights Act 2015 and other applicable law.

21. Business customers

If you book as a business, company, partnership, organisation or on behalf of business passengers, you confirm that you have authority to bind that organisation and that the organisation is responsible for the booking, passenger conduct, payment and any additional charges.

Business customers are responsible for ensuring that their employees, guests, contractors and passengers comply with these terms. Bavarios may invoice or charge the business customer for bookings made by authorised users or through agreed corporate channels.

For business customers only, and subject always to liability that cannot legally be limited, Bavarios is not liable for loss of profit, loss of revenue, loss of business, loss of goodwill, loss of anticipated savings or indirect or consequential loss.

22. Changes to these terms

Bavarios may update these terms from time to time. The version shown during booking or available on the website when you submit a booking request applies to that booking unless a later version is expressly accepted.

Changes to website-use terms apply prospectively from publication. Material changes will not retrospectively alter an already confirmed booking unless required by law or accepted by you.

23. Governing law and courts

These terms, your use of the Bavarios UK platform and Bavarios’ platform obligations are governed by the law of England and Wales, except where mandatory consumer protection rules in your country of residence apply.

If you are a consumer, you may bring proceedings in the courts available under applicable consumer law. If you are a business customer, the courts of England and Wales have exclusive jurisdiction for disputes relating to these terms and the Bavarios platform.

Journey contracts with Service Providers may be governed by the law and jurisdiction applicable to those provider services if that is properly disclosed or required by law.

Support and complaints

If something is wrong with a booking, contact Bavarios as soon as possible so the issue can be reviewed. Operational support may be provided through email, chat, phone or the booking channel used for the journey.

Changes to these terms

Bavarios may update these terms from time to time. The version available on the website when you make a booking applies to that booking unless a later version is validly agreed.

Law

These terms are governed by English law, except where mandatory consumer protection rules in your country of residence apply. Service agreements with independent providers may be governed by the law applicable to those provider services.
